What we hold, and whose it is
Two kinds of information pass through this portal, and they belong to different people. This says what happens to both.
Your account
Your name, your business details, your email, and a log of what happened in your account. We use them to run the service and for nothing else. We do not sell them, and we do not send you anything you did not ask for besides the emails the service itself produces.
You sign in with a password you choose, or with a link we email you. Passwords are stored hashed by our authentication provider and are never visible to us. Card details go to Whop and never pass through this site.
One exception worth naming. When you accept our terms, we record the moment: your email and business name as they were then, the version you accepted, the date and time, and the IP address you accepted from. That is the only place we keep an address, it is kept because an agreement you can prove is worth more to both of us than one you cannot, and it is never used to work out where you are or what else you did. You can see your own record on your Billing page, and neither you nor we can change it afterwards.
The people who contact you
When somebody fills in a form on your website, their name, phone number, email and message arrive here so you can call them back. That information is yours, not ours. We hold it on your behalf, so that your website has somewhere to put it and you have somewhere to read it.
We do not use it for anything except showing it to you and, only if you turn on review requests, sending a customer who booked one email on your behalf asking for an honest Google review. Each person gets that email once at most, and it has a link to stop it. It is never sold, never used by us to market anything to those people, and never mixed with another business’s enquiries — each business can read only its own, and that is enforced by the database rather than by our good intentions.
You can change how you have dealt with an enquiry. Nobody — including you and including us through the portal — can edit what the person actually wrote, because a record of a conversation that can be rewritten is not a record.
What we are bound to do with their data — and what we may never do with it — is set out in the Data Processing Agreement.
Photographs
Photos you send the team are used on your site and nowhere else. We keep a record of where each one came from and that you confirmed it was yours to use, because that record is what establishes we had permission to put it on your website.
Deleting it
Ask us and we will delete your account and everything in it, including the enquiries. Tell us and we will delete a single enquiry — a person who contacted you has the right to ask you for that, and you should be able to act on it the same day. Write to ai@build-remote.com and we will confirm when it is done.
Backups can take up to thirty days to age out. Anything deleted is gone from the portal immediately and from the backups within that window.
Who else sees it
The services that make the portal work: our hosting and database provider, Whop for payments, and our email provider for the messages the portal sends you. Nobody else. We do not use advertising or analytics trackers on the portal.
Changes
If this ever changes in a way that affects you, we will tell you by email before it applies — the same notice we give for a price change.
